Registration

Registration for the 2025 Annual Meeting has now been launched: it is limited to 330 delegates. Key dates are:

  • 19th September (23:59 GMT): Deadline for early-bird registration and abstract submission
  • 7th November (23:59 GMT): Deadline for late-bird registration

Registration fees are shown below. These include the symposium, icebreaker reception, scientific sessions, and refreshments during breaks, prices will be announced shortly. Grab-bag sandwich lunches on the Saturday and Sunday are also included in the registration fee.  For queries related to registration, please contact annualmeeting2025@palass.org.

How to register

Please note: Registration for this meeting is now closed. 

In order to register for the Annual Meeting, please log into the new Palaeontological Association website. Conference registration is available via a link in the Events tab at the top of your user dashboard, shown below (for a logged in member).

Members: All members automatically have an account: please click on the black button below left to visit the dashboard.

Non-members: In order to register for the conference, you will first need to create a user account on our website. This will provide access to the user dashboard, via which registration and abstracts are processed. Please click on the yellow button below right, to create a user account, and when you have done so, visit your dashboard.

Problems?

Conference registration and abstracts on the Palaeontological Association's new website are running off new underlying systems (we relaunched our website in June this year). Whilst we have tested it extensively, it does rely on multiple interacting systems, and it is impossible to test all possible interactions between these. If you encounter any problems when registering or submitting an abstract, please let us know by clicking on the button below, and we will do our best to fix these quickly. We're grateful for your patience and support if we do run into snags. 

Abstracts 

The deadline for abstract submission is 23:59 GMT on Friday 19th September 2025. After this date abstracts will not be considered. Delegates will be notified in early-mid October, via e-mail, regarding decisions on their abstracts. To submit an abstract, please first register as an attendee. Once you have done so, you will be able to submit an abstract via your dashboard on the website: look to the tab Abstracts at the right hand side at the top of your dashboard, the tab to the right of the one you used to register.

General abstract guidance

Abstracts are limited to 200 words in length. Abstracts that are not formatted correctly according to the template will not be considered. During abstract submission, delegates will be able to select whether they are applying for a standard talk, lightning talk, or poster. Delegates may submit up to two abstracts for which they are first author / presenting author. If submitting two abstracts, only one is permitted to be an oral presentation (standard or lightning talk). All presentations are required to be in English.

Oral presentations

Standard talks will be allocated 15 minutes in total, and you should prepare your talk to allow for 3 minutes of questions. Lightning talks will be allocated 5 minutes in total, and you should prepare your talk to allow for 1 minute of (brief) questions. Lightning talks will be organized into sessions of 15 minutes (i.e., in groups of three).

If you do not wish for content from your poster or talk (or specific slides/sections therein) to
be shared electronically or on social media, please use the PalAss social media symbols in
your presentation.

Poster presentations

Dedicated poster sessions will take place after lunch on Saturday 13th and Sunday 14th December. Posters will be displayed in A0 portrait format. Please note that poster presentations that are eligible for student prizes will need to be submitted to the judging panel approximately one week in advance of the conference. Further details will be communicated to eligible candidates via email.

Abstract review

Delegates submitting abstracts are kindly asked to consult the process, guidelines, and rubric for reviewing abstracts on the Association website. Talk and poster abstract decisions are competitive; slots are oversubscribed yearly owing to the ongoing success of the Annual Meetings. All abstracts will be double-blind reviewed and will consider how developed the research is, career stage, and whether the presenter has presented last year.

The Abstract Review Panel wish to enable as many delegates as possible to present their work, but they reserve the right to reject an abstract or change an abstract submitted for a standard talk to a lightning talk or poster, or from a lightning talk to a poster. Priority for oral presentations will be given to third- and fourth-year PhD students and postdoctoral researchers. Undergraduate, Masters, and first- and second-year PhD students are encouraged to submit for posters or lightning talks.

International delegates and visas

For international delegates who require visas to enter the UK, please contact us at annualmeeting2025@palass.org, so that we can provide a formal letter of invitation from the conference organisers (if required) and a decision on your abstract in a timely manner. 

Student prizes

Eligibility of presenters for President's and Council Prizes: The President's and Council Prizes are awarded for the best talk and poster, respectively, at the Annual Meeting. All student members of the Palaeontological Association, and all members of the Association who are early career stage researchers, i.e. those within one calendar year of the award of a higher degree (PhD or MSc) are eligible for consideration for these awards.
 

Research ethics

All research presented at the meeting should abide by policies outlined in the page Palaeontological Association Ethics Code. For further details on the Palaeontological Assocation's stance, please see the article in Newsletter 108, "Palaeontology and Papers in Palaeontology – policies, ethics and the way we operate". If authors believe that their research may raise potential concerns, a pre-submission enquiry may be made to annualmeeting2025@palass.org.
